Who we are
Veterinary Dental Arts ("we," "us," "our") operates the website at veterinarydentalarts.com and is the data controller for the personal data processed through this site. Scope of this policy
This policy covers the website at veterinarydentalarts.com only. Veterinary medical records and clinical information are maintained in our separate practice management system and are governed by Colorado veterinary practice law, the Colorado Veterinary Practice Act, and our internal records policies — not by this website privacy policy.
Note on HIPAA. The Health Insurance Portability and Accountability Act applies to human healthcare. Veterinary practices are not "covered entities" under HIPAA, so your pet's medical information is not HIPAA-protected. We still treat veterinary records as confidential under Colorado law and our own professional obligations.
What we collect
Through the website (automatically)
When you visit our site, we collect basic usage data via Google Analytics 4. This includes:
- Pages visited and time on each page
- Device type, browser, and operating system
- Approximate location based on truncated IP address (typically city or region only)
- How you arrived at the site (search engine, direct, referral)
IP-address truncation is enabled in our Google Analytics configuration so we do not receive your full IP.
When you contact us through the website
If you submit our contact form, we collect:
- Your name and email address (required)
- Your pet's name, pet type, and the type of visit you're interested in
- Any notes or questions you choose to share
Form submissions are processed by Netlify, our hosting provider, and may be screened by automated spam-prevention tools (including a hidden honeypot field) before being delivered to our practice email. Spam-flagged submissions may be discarded without review.
What we do not collect through the website
- Credit card or bank information (payments are handled in person at the practice)
- Social Security numbers or other government identifiers
- Medical records of you or your pet (those are stored in our separate practice management system, not on this website)
- Sensitive data as defined by the Colorado Privacy Act (such as racial or ethnic origin, religious beliefs, mental or physical health diagnosis, sex life or sexual orientation, citizenship or immigration status, genetic or biometric data, or personal data of a known child)
Why we collect it
- To respond to inquiries and book appointments for new and existing patients
- To understand site usage so we can make the site clearer and more useful
- To verify the site works correctly across the devices and browsers visitors actually use
- To comply with applicable law, including responding to lawful requests from regulators or courts
Who we share it with
We share data only with the service providers that make the website work, and only the data those services need to function:
- Google Analytics (operated by Google LLC) — for traffic analysis. Google's privacy practices.
- Netlify — our website hosting provider, which also processes contact form submissions. Netlify's privacy practices.
- Our practice email — contact form submissions are sent to Hello@VeterinaryDentalArts.com so staff can follow up.
These service providers process personal data on our behalf under their own privacy and security obligations. They may store and process data on servers located in the United States and other countries.
We do not sell your personal information. We do not share it with marketing services, advertising networks, or data brokers. We do not use the website to deliver targeted advertising, and we do not engage in automated profiling that produces legal or similarly significant effects.
Cookies and tracking technologies
The website uses cookies in two ways:

- Functional cookies — enable the contact form to work properly
You can disable cookies in your browser settings at any time. Disabling cookies may affect some features and will not prevent you from using the site.
Universal Opt-Out Mechanism (Global Privacy Control)
Because we do not sell personal data, deliver targeted advertising, or conduct profiling that produces legal effects, there is no targeted-advertising or sale activity for the Colorado Universal Opt-Out Mechanism (such as a Global Privacy Control browser signal) to opt out of. If our data practices change in the future, we will honor recognized opt-out signals as required by Colorado law.
How long we keep it
- Google Analytics data: retained for 14 months (the GA4 default), then automatically deleted
- Contact form submissions: retained in our email and practice management system for as long as you remain a patient, and afterward for the period required by Colorado veterinary records-retention rules, then archived or deleted in line with that schedule
- Backups and operational logs: retained for a short period (typically up to 90 days) for security and recovery purposes, then overwritten
Your rights (Colorado Privacy Act)
If you are a Colorado resident, the Colorado Privacy Act gives you the following rights regarding personal data we hold about you:
- Right to access — request confirmation that we process your personal data, and a copy of it
- Right to correct — request that we fix inaccurate personal data
- Right to delete — request that we delete your personal data, subject to legal retention requirements (veterinary medical records, for example, have minimum retention periods)
- Right to data portability — request your personal data in a portable, machine-readable format, where technically feasible
- Right to opt out — opt out of any sale of personal data, targeted advertising, or profiling that produces legal or similarly significant effects. As described above, we do not engage in any of these activities.
How to make a request
Email us at Hello@VeterinaryDentalArts.com with the subject line "Privacy Request." Please describe what you are asking for and include enough information for us to locate your records (for example, the name and email address used on your contact form submission, and your pet's name). We may need to verify your identity before fulfilling the request to protect your information from unauthorized disclosure.
Authorized agents
You may designate another person or business to make a request on your behalf. We may ask the agent to provide written, signed permission from you to act as your agent, and we may contact you directly to verify the authorization.
Response time
We will respond within 45 days of receiving a verified request, as required by Colorado law. If we need more time (up to an additional 45 days), we will let you know within the initial response window and explain why.
Right to appeal
If we decline a request, we will explain why in writing. You have the right to appeal that decision by replying to our response email with the subject line "Privacy Appeal" within a reasonable time. We will review the appeal and respond within 45 days. If the appeal is denied, you may contact the Colorado Attorney General to submit a complaint at coag.gov.
Children's privacy
This site is intended for pet owners aged 18 and over. We do not knowingly collect personal information from children under 13. If you believe a child under 13 has provided information through our site, please contact us so we can remove it. We do not process the personal data of known minors for targeted advertising, sale, or profiling.
Security
The website is served over HTTPS with a valid TLS certificate. Contact form submissions are transmitted encrypted. We use industry-standard practices to protect the information we receive. No method of transmission over the internet is fully secure, so we cannot guarantee absolute security and ask that you not send sensitive information (such as financial account numbers or government identifiers) through the website.
